BuildTrail Scout for iOS and Android

1. Scope and roles

This policy explains how CurlyByte Solutions (“CurlyByte,” “we,” “us”) handles personal information through BuildTrail Scout and the BuildTrail service. BuildTrail is organization-managed business software for construction field operations.

The customer organization normally determines why its customer, contact, property, project, and inspection information is processed, and CurlyByte processes that information to provide the service. CurlyByte also handles account, security, support, and service-operation information for its own legitimate business and legal responsibilities. Your organization may provide additional privacy notices that apply to its records.

2. Information handled by the app

  • Account and organization data: user ID, name, email address, authentication state, memberships, roles, teams, permissions, and organization settings.
  • Construction CRM and work data: customer/contact names and contact details, property and work addresses, leads, opportunities, visits, tasks, notes, projects, work orders, assessments, and related status history.
  • Evidence and user content: photos selected or captured by the user, field notes, observations, files, signatures, authorization records, and review decisions.
  • Location and capture provenance: precise foreground location when permission is granted and a relevant feature is used; image time, source, capture context, and device pitch/roll used to document evidence quality and provenance.
  • Technical and security information: app version, platform, network requests, authentication/audit events, synchronization state, error context, and security logs needed to operate and protect the service.
  • Support communications: information you provide when requesting help, beta access, privacy assistance, or account deletion.

3. Permissions and device access

BuildTrail Scout requests camera access when you take evidence photos, selected-photo access when you import supplemental evidence, foreground location for nearby work/navigation/property confirmation and evidence provenance, and motion access for device pitch and roll during capture. The app does not request background location and does not copy captured evidence to your personal photo library by default.

You can deny or later change permissions in device settings. Some field features will be unavailable or will record that provenance is missing. The app should not infer a physical finding from a denied permission or missing data.

4. How information is used

  • Authenticate users and enforce organization, role, module, and record access.
  • Provide CRM, field scheduling, maps, evidence capture, assessment, synchronization, report, and support functionality.
  • Preserve evidence provenance, immutable originals, audit history, security, and service integrity.
  • Retrieve and present authorized public-data context such as maps, imagery, weather, and jurisdiction information.
  • Diagnose failures, prevent abuse, maintain availability, comply with law, and protect users, customer organizations, and CurlyByte.

AI output is treated as a candidate requiring qualified human review. Public weather or imagery does not prove a property-level condition or causation. BuildTrail Scout does not autonomously decide insurance coverage, code applicability, causation, repair scope, or pricing.

5. Sharing and service providers

Information is available to authorized members of your customer organization according to its permissions and record scopes. We use infrastructure and operational providers to host data, store evidence, deliver email, secure and monitor the service, and support maps or public-data workflows. These may include Amazon Web Services and platform/map/imagery providers used by iOS, Android, CARTO, Esri, NOAA/NWS, or state public-data services, depending on the feature and platform.

Map and imagery providers may receive network information and the requested map area when their content is loaded. We may disclose information when instructed by the responsible customer organization, with your direction, during a business transaction subject to safeguards, or when reasonably required by law or security. We do not sell personal information, display third-party advertising, or use BuildTrail Scout data for cross-app tracking.

6. Storage, security, and international processing

The app uses protected local storage for authorized offline workspace data and capture drafts. Server data and evidence are protected using access controls, encryption in transit, and operational security measures appropriate to the service. No system is completely secure. BuildTrail production infrastructure and providers may process information in the United States or other countries; CurlyByte and customer organizations are responsible for applying appropriate contractual or legal safeguards where required.

7. Retention and deletion

Information is retained according to the customer organization’s instructions, service agreements, security needs, and legal obligations. Sign-out removes active access but is not an account-deletion request. Offline remnants and encrypted backups may persist for a limited operational period.

Construction evidence, signed authorizations, finalized reports, provenance, and audit records may need to be retained and may not be silently overwritten or deleted. When deletion is required and permitted, information will be deleted, de-identified, or access-restricted as appropriate. See Privacy choices and account deletion for instructions.

8. Your choices and rights

Depending on your location and relationship to the customer organization, you may have rights to access, correct, export, restrict, object to, or delete personal information, or to complain to a data-protection authority. Start with your organization administrator for organization-controlled work records, or contact CurlyByte for account/security data and help routing the request. We may need to verify identity, organization authority, and applicable retention obligations.

9. Children

BuildTrail Scout is professional business software and is not directed to children. Customer organizations must not provide accounts to users who are not legally permitted to use the service.

10. Changes

We may update this policy when the product, providers, law, or data practices change. We will update the date above and provide additional notice when required.
